iVISA is committed to ensuring a safe, transparent, and convenient payment process for visa, passport, travel, and immigration services. This Payment Policy explains payment methods, processes, service fees, cancellation, and refund policies. It applies to all services on our website (www.ivisa.com.vn) and iVISA’s social media channels. We comply with Vietnamese laws on electronic payments as well as international standards. This policy may be updated directly on our website in response to legal changes, company requirements, or consumer needs.

Introduction to the Payment Policy

This policy aims to protect customer rights when using iVISA’s services. All payment transactions are secured and processed according to PCI DSS standards. iVISA does not store your credit card information. Payment Methods

iVISA supports the following payment methods to meet customer needs:

  • Cash Payment: Please visit iVISA’s head office at No. 99 Nguyễn Thị Nhung Street, Hiệp Bình Ward, Ho Chi Minh City.
  • Bank Transfer:

    When making a transfer, please include your full name, address, phone number, service order code (visa/passport), and departure date (if applicable). After transferring, send a photo of the payment receipt via Zalo/email to the responsible staff for confirmation. iVISA will not be responsible if incorrect information leads to cancellation.
  • Online Payment via Payment Gateway: Supported via VNPAY or international gateways. We accept domestic cards (ATM/Internet Banking) and international cards (VISA, MASTER CARD, JCB, AMERICAN EXPRESS, AMEX). Transaction fees depend on the payment gateway (domestic: 1–2%, international: 3–4%). Please ensure you have Internet Banking activated if using domestic cards.

Payment Process and Deposits

  • Payment Process: When registering for a service, customers must provide complete information and make full payment in one transaction.
  • Payment is considered complete when iVISA confirms receipt of the full amount. Any delay may result in service cancellation without refund. Our staff will contact you for confirmation once the transaction is successful.

Service prices are quoted in VND. If paying in USD or other currencies, the exchange rate will follow Vietcombank’s rate at the time of payment.

Service Fees and Additional Costs

  • Service Fees: Include visa/passport application processing fees, consular fees, and translation fees (if required). These are clearly stated under the “Included” section of each service. iVISA is not responsible for costs not listed in this section.
  • Additional Costs: Express processing fees, special request fees (immigration support, VIP services). Customers will be informed in advance and must agree to pay extra if applicable. Air tickets, hotels, and insurance are not included unless specified.

Cancellation and Refund Policy

  • Cancellation by iVISA: If we cannot provide the service (e.g., due to changes in visa regulations), we will inform you immediately and refund 100% within 3 business days via cash or bank transfer.
  • Cancellation by Customer: Must be notified in writing/email (phone calls not accepted). Customers must bring the registration form and receipt to our office for processing.

Customers may cancel without incurring any fees if iVISA has not yet confirmed acceptance and provision of the service.

No refunds will be issued if the customer cancels under these circumstances:

  • The application has been submitted to the Embassy and acknowledged by the Embassy.
  • The customer provided false information or used forged documents.
  • The customer is on Vietnam’s exit-ban list.
  • The customer is on the entry-ban list of the country they are applying for a visa to.

Service Change/Transfer: iVISA will consider the actual situation to provide support, but the customer will bear service cancellation fees as per policy. Refunds will be processed within 3–7 days, minus bank charges for online payments. No refund is given if a visa is denied due to personal reasons.

Responsibilities of iVISA and Customers

  • iVISA’s Responsibilities: Ensure services are provided as agreed, support payment processing, inform customers of changes (visa, airline), and disclaim liability for force majeure events (natural disasters, security issues, refusal of entry/exit).
  • Customer Responsibilities: Pay on time, provide accurate information (passport, re-entry visa for overseas Vietnamese), comply with laws, and bear additional costs from violations. iVISA will help minimize damages but holds no legal liability.

Changes to the Payment Policy

We may update the policy to comply with legal or service changes. Updates will be posted directly on our website. Customers are encouraged to check periodically when using our services.
